HR Self-Service — Privacy Policy

- Who we are
HR Self-Service is a workforce management app built by Connect HR for companies to run leave, attendance, payroll documents, and other HR processes for their own employees. A company registers its own private workspace in the app; Connect HR operates the underlying software and infrastructure on that company’s behalf.
- Scope of this policy
This policy explains what information the HR Self-Service app collects, why, and how it is protected, for both roles the app serves:
- Employees, who use the app to view their own leave balance, attendance, payslips, and request documents; and
- HR / managers, who use the app to administer employee records, approvals, and payroll for their own company.
If your employer uses HR Self-Service, your employer is the controller of your employment data and determines how long it is kept and who at your company can see it. Connect HR processes that data on your employer’s behalf, as described below.
- Information we collect
- Identity & contact: Full name, email, phone number, home address, emergency contact
- Employment details: Job title, department, branch, manager, join date, employment status
- Compensation: Basic salary, allowances, overtime and payslip records, advances, financial dues
- Identity & work documents: QID, passport, health card and visa numbers/expiry dates; uploaded files such as contracts, offer letters, and ID copies
- Attendance: Clock in/out and break times, leave requests and balances
- Location: Precise device location, only as described in Section 4
- Account data: Login email and encrypted password (managed by our authentication provider), app role (employee, manager, HR)
All of this information is entered by the employee or by their company’s HR team — the app does not collect data from any other source.
- Location data
Location is only used for work-site attendance verification, and only while the app is open. HR Self-Service does not track location in the background, and does not track location at all unless an employee’s company has assigned them a work location and the employee is actively clocking in, clocking out, or currently clocked in.
When a company assigns an employee to a work location (a site with a set radius), the app:
- Checks the employee’s device location at the moment they clock in or clock out, to confirm they are within the assigned radius;
- While clocked in and the app is open in the foreground, periodically checks location to confirm the employee is still on-site;
- Notifies both the employee and their company’s HR team if the employee appears to have left the radius without clocking out.
This location data is stored as the employee’s most recent known position, is visible only to that employee’s own company’s HR administrators, and is never sold, used for advertising, or shared with anyone outside that company.
- How we use information
- To operate core features: leave, attendance, payroll documents, certificates, warnings, and approvals
- To let HR administer their own company’s employee records
- To send in-app notifications about requests, approvals, and attendance
- To generate PDF documents (certificates, payslips, letters) requested by the employee or HR
- To maintain the security and integrity of each company’s data
We do not use employee data for advertising, and the app contains no third-party ad or analytics trackers.
- Data sharing
We do not sell personal information, and we do not share it with third parties for their own marketing purposes. Data is processed by:
- Supabase, our backend infrastructure provider, which hosts the database, file storage, and authentication used by the app, strictly as a data processor under our instructions;
- Your own employer’s HR administrators, within your own company’s private workspace only — every company’s data is isolated from every other company’s using database-level access controls.
We do not disclose personal information to any other party except where required by law.
- Data retention
Employment records are retained for as long as the employment relationship is active, and afterward for as long as the employer’s own record-keeping and legal obligations require. An employer may delete an employee’s records from their workspace at any time; a company may request deletion of its entire workspace by contacting us (Section 10).
- Security
- All data in transit is encrypted (HTTPS/TLS)
- Every company’s data is isolated at the database level, so one company can never read another company’s records
- Access within a company is role-based: an employee can only see their own records; HR can only see records within their own company
- Passwords are never stored in plain text and are managed by our authentication provider
- Your rights
If you are an employee using HR Self-Service through your employer, you can view most of your own information directly in the app (profile, documents, payslips, attendance). For corrections, access requests, or questions about data your employer holds about you, contact your company’s HR team first, since they control that data; you can also contact us directly using the details in Section 13 and we will route your request to the relevant company.
- Account & data deletion
To request deletion of your account or personal data:
- Employees: ask your company’s HR administrator to remove your account, or email us at connectnetworkou@gmail.com with your registered email and company name and we will forward the request.
- Companies: email us at connectnetworkou@gmail.com from an HR administrator account to request deletion of your entire company workspace.
We will action deletion requests within 30 days, except where we are required to retain certain records for legal or regulatory reasons (for example, payroll records under applicable labour law).
- Children’s privacy
HR Self-Service is a workplace tool intended for use by employed adults and their employers. It is not directed at children, and we do not knowingly collect information from anyone under the age of 16.
- Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date at the top of this page. Continued use of the app after an update constitutes acceptance of the revised policy.
